Refund & Cancellation Policy

Deep Plane Málaga & Marbella 2026

Last updated: [5th September]

This policy explains what happens if you need to cancel your participation, or if we need to change or cancel the Event. It forms part of our [Terms of Use]([TERMS URL]) and should be read alongside them. Where this policy and the Terms of Use address the same matter, this policy prevails.

The Event takes place on 26, 27 and 28 November 2026 in Málaga and Marbella, Spain.

1. The short version

When we receive your written cancellation:

• On or before 27 October 2026 (30 days or more before the Event);

After 27 October 2026 (fewer than 30 days before the Event);
Transfer of your place to another qualified surgeon;
We cancel the Event;
We postpone the Event.

What you receive:

• Full refund of the registration fee paid;

• No refund — but you may transfer your place to another qualified plastic surgeon;

• Available at any time before the Event, at no charge;

• Full refund, or transfer to a rescheduled edition — your choice;

• Transfer to the new date, or full refund — your choice.

2. Why the 30-day cutoff exists

We would rather explain this than bury it.

The hands-on component of this programme requires fresh frozen human anatomical specimens. These are not stock items. They are procured to order, on the basis of confirmed participant numbers, through regulated channels that require lead time for sourcing, ethical clearance, preparation, cold-chain transport and reservation at the University of Málaga facility.

Once that order is placed, the specimens cannot be returned, resold, reallocated or held over for a future edition. The cost is incurred by us in full, whether or not the participant attends. Laboratory stations, instrument sets and faculty supervision ratios are committed on the same basis.

27 October 2026 is the date on which we must place that order. The cutoff reflects a real, unrecoverable cost — not a penalty, and not a mechanism to retain your money.

This is also why the transfer option in Section 4 stays open after the cutoff: if your station is going to exist regardless, we would rather a colleague use it than see it go empty.

3. How to cancel

Send written notice to contact@meridianglobalinstitute.com from the email address used for your registration, including your full name and the date of registration.

• Cancellations are effective on the date we receive your email, according to Brasília time (UTC−3).

• We confirm receipt in writing within two business days. If you do not receive that confirmation, assume we have not received your notice and contact us again.

• Cancellation by WhatsApp, telephone or social media is not valid. Use email, so that both parties have a dated record.

4. Transferring your place

At any time before the Event — including after the 30-day cutoff — you may transfer your registration to another physician at no additional charge, provided the substitute:

• is a qualified plastic surgeon holding valid and current medical registration;
• passes our eligibility verification;
• accepts the Terms of Use in their own name.

Notify us at least seven days before the Event so that credentials can be verified, venue access arranged and materials prepared. Later requests may not be possible, as the host institutions require participant lists in advance for access control and insurance.

Any financial arrangement between you and the substitute participant is a matter between you. We do not mediate it and do not issue partial or split refunds in connection with a transfer.

5. How refunds are paid

Where a refund is due:

• It is issued to the original payment method. Card payments are refunded to the same card; bank transfers are refunded to the originating account.
• It is processed within 10 business days of our written confirmation of your cancellation. The time taken for the amount to appear in your account depends on your bank or card issuer and is outside our control.
• The refunded amount is the registration fee you paid, in euros.

Two things we cannot control, and do not refund:

Currency conversion. If your account is not in euros, the amount credited in your local currency may differ from what was originally debited, because the exchange rate applied by your bank on the refund date will not be the rate applied on the purchase date. This difference is set by your financial institution.

Bank and card fees. International transaction fees, cross-border fees, and any tax on foreign exchange levied in your country of residence are collected by your bank or card issuer, not by us. We cannot refund charges we never received.

6. Non-attendance

If you do not attend and have not sent written cancellation, no refund or credit is available, and your registration cannot be carried over to a future edition.

If something unexpected prevents you from travelling, contact us as early as you can. We cannot promise an outcome outside this policy, but the transfer option in Section 4 remains open, and we would rather hear from you than not.

7. Visa refusal

We can issue a letter confirming your registration to support a visa application, on request.

Visa refusal does not create a right to a refund outside the timescales in Section 1. If your application is refused on or before 27 October 2026, cancel in writing and you receive a full refund under the standard rule. If it is refused after that date, the transfer option remains available.

Please apply for your visa early, and consider refundable flights and accommodation.

8. Changes to the programme

The schedule, faculty, session order, surgical cases and techniques demonstrated may change. Live surgery in particular depends on patient availability, patient consent and clinical suitability on the day, and specific procedures cannot be guaranteed.

We will make reasonable efforts to deliver a programme of equivalent scientific value and to notify you of material changes in advance. Changes of this kind do not create a right to a refund.

9. If we cancel or postpone

If we cancel the Event, you may choose either a full refund of the registration fee or a transfer of your registration to a rescheduled edition.

If we postpone the Event, you may choose either to transfer your registration to the new date or to receive a full refund.

In both cases we will notify registered participants by email as soon as the decision is made, and refunds are processed within 10 business days of your choice.

Our liability is limited to the registration fee you paid. We are not liable for flights, accommodation, transfers, visa costs, loss of professional income, or any other expense incurred in connection with the Event, including where cancellation results from force majeure — natural disasters, epidemics, public health restrictions, war, civil unrest, transport disruption, failure of a host institution, governmental action, or restrictions on the lawful supply of anatomical specimens.

This is why we ask you to arrange travel insurance, and to avoid non-refundable bookings until your registration is confirmed in writing.

10. Exclusion from the Event

Where a participant is removed from the Event for breach of the Terms of Use — in particular the rules on conduct in the anatomy laboratory, patient confidentiality during live surgery, unauthorised recording, or the code of conduct — no refund is available, and no part of the fee is returned.

11. Professional capacity

Registration is offered exclusively to qualified physicians acting in the course of their professional activity. It is a business-to-business transaction between professionals, and consumer withdrawal rights applicable to transactions with consumers do not apply.

Where any mandatory consumer protection law nonetheless applies to you, nothing in this policy limits rights you have under that law.

12. Payment disputes

If you believe a charge is incorrect, contact us before raising a dispute with your bank or card issuer. Most issues are administrative and are resolved within a few days.

Raising a chargeback in respect of a validly incurred, non-refundable fee does not alter your obligations under this policy, and we will provide the payment provider with the registration record, this policy, and the accepted Terms of Use.

13. Questions and contact

If anything here is unclear, ask before you register. We would rather answer a question now than have a misunderstanding later.
